Open Settings > Billing. Subscription manages plan/renewal; Billing history holds PoultryDesk invoices. Farm customer transactions belong under Finance. Starter is free, without a card or renewal.
Your trial
Account creation authorizes no payment. An unpaid trial falls back to Starter; existing Paddle agreements keep their confirmed terms.

Start the first paid period
- Where offered, choose Start paid period now.
- Review plan, cadence, amount/currency and giving up unused trial after success.
- Continue to first invoice creates the immediately due invoice; it does not charge you or activate paid access.
- Pay manually, or choose Pay and set up automatic card payments where offered.
Paid access needs verified payment. The invoice period starts on the request's UTC date for one billing interval; unused trial days are not added. Reopening keeps the same invoice/dates. If unpaid, normal trial expiry still applies. Payment after the invoiced period needs support review.
Monthly or annual billing
| Plan | Monthly KES | Annual KES |
|---|---|---|
| Grower (Pro) | 2,400 | 24,000 |
| Mother Hen (Business) | 6,300 | 63,000 |
Annual saves two months. PoultryDesk adds no VAT. Compare features. Issued invoices keep their currency/amount, including older USD invoices. Billing follows your organization, not the website you open.
Choose cadence at signup or during trial; active cadence changes need support. Existing renewal prices stay until a notified change, with at least 30 days' notice and its effective date shown in Billing. A renewal above an authorized card limit waits for fresh approval.
Choose how to pay
- Add your organization's contact phone, with country code, under Settings > Organization if missing.
- Open Billing history, select the invoice and Pay this invoice.
- Choose an available Mobile money or Card method. DPO's hosted page collects wallet/card details; ordinary checkout does not need a wallet number entered in PoultryDesk first.
- Return and check payment confirmation.
One-off checkout does not enable automatic payments. Resume checkout or Check payment status continues/checks the same attempt. A lost connection is not proof nothing was charged. Never start another payment while the result is uncertain. Cancel payment intent applies only before provider submission. For an existing M-Pesa attempt, delayed confirmation stays visible for checking.
Unavailable methods show reasons; use Get help if none works. Arranged bank payments need support to record the reference. Provider Review access links are not enabled; contact the coordinator, not another user's account.
Automatic card payments with DPO
Only available where enabled. DPO stores the card; PoultryDesk manages renewal. There is no customer DPO merchant portal.
- Open Review card setup or Review automatic payments at
/settings/billing/auto-renew. - Verify your email and complete two-step identity confirmation if asked. Account security explains authenticator setup, recovery codes and password reset for SSO accounts without a local password.
- In Review and pay, check the actual First payment, Maximum renewal and Next renewal separately. Enter first name, last name and phone number; DPO also uses your verified account email. Review policies, accept separate card authorization and Continue to secure checkout.
- Complete payment, then Check payment and cards.
- Explicitly select an identifiable, confirmed card from your verified wallet, review the limit and Confirm automatic payments.
Paying the invoice is not confirming the card. Neither email nor two-step verification authorizes charges. Return to Billing and submit the action after identity checks; they never retry payment automatically.
The renewal limit is the maximum amount you are authorizing, not an extra charge. Authenticator setup needs your current password even when you use single sign-on. Scan its QR code, save recovery codes and confirm the current code. Setup expires after five minutes; start again if needed. Each code can be used once. After returning to Billing, identity confirmation does not start or repeat a payment.
A new card needs a genuine amount-due subscription invoice, not a nominal setup charge. During trial, create the eligible first invoice first. A current paid period can authorize an already-confirmed card through Use a saved card without another payment; adding a new card still needs an eligible invoice. An unfinished replacement leaves the active card unchanged.
Older invoice currency stays separate from the future KES limit. Higher limits or changed plan/currency/frequency need fresh consent. Only eligible subscription cycles collect automatically, not arbitrary balances or add-ons.
Stop or recover automatic payments
Stop automatic payments removes this organization's authorization and unfinished replacements, preserving paid access, billing currency and stored provider cards. Cancel card setup stops only unfinished setup. In-progress payments need checking. An already-processing payment may still complete. For an existing Paddle agreement, Switch to manual billing needs confirmation; sending the request alone does not confirm the change. Current paid access remains.
Stop automatic payments before changing plan. Review adjustment currency separately from the future rate. Billing frequency changes need support.
When a renewal invoice is overdue
Ordinary renewals allow three days to pay, then seven days' grace from due time. Payment due means unpaid, not necessarily declined. Pay/review the existing invoice before paid-plan writes pause. Data and permitted Billing/recovery surfaces remain. Verified payment restores eligible access; late/conflicting results may need support. Enterprise/Paddle contracts retain their arrangements.
Existing Paddle automatic renewal
Existing Paddle agreement has not moved to DPO. Expand Manage existing Paddle agreement for Update card or Manage auto-renew, as permitted. It remains active until a change is confirmed, even if new payment options fail to load. Do not start a second agreement.
Switch to manual billing reviews a confirmed end date while retaining paid access; future invoices need payment. Keep automatic renewal withdraws a pending switch. Use Refresh status for delayed results, not another request.
Plans and limits
- Open Subscription > Compare plans > Switch to this plan.
- Review amount due, future price, timing and lost/new access. Enter a promotion if applicable; re-acknowledge costs after a change.
- Confirm, then pay the upgrade invoice where required.
Upgrades take effect after verified payment; downgrades schedule for period end and can be cancelled beforehand. Data stays, but lower-plan access/limits apply. Enterprise uses Contact sales team. Paddle-managed or conflicting pending changes need support. Add-ons follow the same review/payment rules.
Promotion checks do not reserve a code; invalid codes need correction or clearing. A full discount can apply a change without payment, but does not enable automatic renewal or make future periods free beyond its duration.
Measured allocation methods need Business; Finance plans include Direct/Equal split. Unavailable features link to View plans, which does not itself change your subscription.
Invoices and payments
Billing history lists invoices and outstanding amounts. Filter by status/date; open an invoice for line items and Payments, then a payment for status/detail. Not sent means no provider submission; paying with the same method continues that attempt. Subscription activity shows changes where available.
Cancel or keep a subscription
- Under Manage subscription, choose Cancel subscription. Expand any Manage existing Paddle agreement section first.
- Review Before you cancel, including end date, access and unpaid balances.
- Enter a 3-500-character reason and Request cancellation. The reason is kept with your subscription history.
- Wait for confirmation; pending is not cancelled. Use Refresh status if delayed.
- Before the effective date, Keep subscription reviews/withdraws cancellation. Use + Add note for an optional reason of 3-500 characters. Automatic renewal needs provider confirmation.
Access continues through the confirmed paid period, then stops; cancellation is not a move to Starter. Confirmed cancellation does not refund earlier payments or erase outstanding invoices. See the market's Refund Policy for requests within 14 days of payment. Starter and trials without renewal have no recurring charge to cancel. Cancellation and management actions need their respective billing permissions.
For DPO, stop automatic payments before changing plan. The current paid period's adjustment retains its currency; future renewal may use KES. Use an eligible local promotion; imported Global USD Paddle codes do not apply.
If a payment fails
Manual/DPO cycles have no automatic re-attempt after decline: open the unpaid invoice and pay using an available method. Existing Paddle renewal follows its retry schedule. Notices state the policy and grace deadline.
A failed first payment or upgrade keeps the trial/current plan. Unpaid renewals pause paid actions after grace without deleting data. Check uncertain results before another payment.
